1. Introduction and Scope

Eirborn Studios ("Eirborn", "we", "us", or "our") operates D-Proxy, a Discord bot that provides message proxying, custom character profiles, roleplay utilities, reference catalogues, and related features.

This Privacy Policy explains how D-Proxy accesses, processes, stores, uses, and discloses information when you interact with the Bot. It applies to interactions with D-Proxy, including its commands, proxy and autoproxy features, profile management, supported media features, and associated functionality that references this Policy.

D-Proxy operates through Discord and may rely on third-party infrastructure, APIs, image hosts, and reference resources. This Policy does not govern Discord's independent processing of information or the practices of external providers, which are subject to their own applicable terms and privacy policies.

We aim to collect and retain only the information reasonably necessary to operate D-Proxy, provide its requested functionality, maintain security, and meet applicable legal obligations.

2. Information We Process

The information processed depends on the features you use, your settings, the permissions available to the Bot, and the context in which it operates.

2.1. Discord Identifiers and Interaction Metadata

D-Proxy may access or process information provided through Discord's APIs and interactions, including:

Discord user IDs, server IDs, channel IDs, message IDs, and webhook IDs.
Usernames, display names, nicknames, and profile or avatar URLs when needed for supported functionality.
Command and interaction information, timestamps, and contextual metadata needed to respond to requests.
References to the server, channel, or message associated with a proxy profile or proxied message.

These identifiers help D-Proxy distinguish users and servers, manage profiles, respond to commands, and associate messages with the features that created them.

2.2. Proxy Profiles, Settings, and Configuration

When you create, import, configure, share, or use a proxy profile, D-Proxy may process and store information such as:

Proxy names, identifiers, prefixes, and other profile metadata.
Avatar, image, and banner URLs, including URLs supplied by you.
Profile colors, groups, and other customization options.
Optional birthday information associated with a proxy profile.
User preferences, feature settings, and proxy visibility or sharing configurations.
Guild associations and settings used by features such as autoproxy or shared proxies.
Last-used references, including relevant server, channel, or message identifiers, where needed for supported functionality.

This information is used to preserve your configuration and allow you to retrieve or use your profiles across supported interactions.

Information entered into a profile may be visible to other people depending on the feature, sharing configuration, and where the profile or its associated messages are displayed. Do not enter personal or sensitive information that is unnecessary for your intended use.

2.3. Messages and Proxy-Related Information

D-Proxy processes message content when necessary to provide its features. For example, this may include commands, text submitted for proxying, edits to proxied messages, and content needed to recognize supported proxy formats.

Where proxy or autoproxy functionality is enabled and the required Discord access is available, D-Proxy may process messages in the relevant context to recognize prefixes, match profiles, or determine whether a proxy action should occur.

D-Proxy may also maintain records associated with proxied messages, including message, channel, server, and webhook identifiers and other relevant metadata needed to manage, edit, identify, or delete messages through supported features.

Depending on the feature and operation involved, message content or associated proxy information may also be processed or retained for message management, troubleshooting, abuse prevention, or security purposes.

Processing a message to determine how to handle it does not, by itself, mean that the complete message is permanently stored. The information retained depends on the functionality involved and the operational records required to support it.

2.4. Uploaded Media and External URLs

When you provide an attachment, image, artwork, or external URL through a supported feature, D-Proxy may access or process it to perform the requested operation.

Depending on the feature, the Bot may retain the supplied URL or associated metadata, retrieve the resource, or temporarily process media as needed. The handling of user-provided media may therefore differ from the handling of images in built-in reference catalogues.

For built-in reference catalogues, D-Proxy may store descriptive records and external image URLs rather than independent copies of the referenced catalogue images. When an external URL is used as a Discord webhook avatar or another supported image reference, Discord or the relevant client may retrieve and display the resource separately.

We do not claim ownership of user-supplied media or third-party content merely because D-Proxy processes or references it.

2.5. Commands, Diagnostics, and Security Records

To operate and maintain the Bot, D-Proxy may process or retain technical and operational information such as:

Command names, execution timestamps, and feature usage records.
Error reports, diagnostic information, and relevant technical traces.
Message or interaction references associated with troubleshooting.
Information reasonably necessary to investigate suspected abuse, enforce the Terms of Service, or protect the Bot and its users.

These records are used for operational purposes rather than to build unrelated profiles of individual users.

2.6. Information We Do Not Intentionally Request

D-Proxy does not require you to provide a real-world name, email address, telephone number, payment information, Discord password, or account access token to use its ordinary bot features.

However, information you voluntarily include in a message, profile, attachment, or external URL may contain personal information. Such information may be processed to the extent necessary to handle that content.

Never provide passwords, authentication tokens, or other confidential account credentials to the Bot or through its support channels.

3. How We Use Information

D-Proxy processes information for the following purposes:

Providing features: Executing commands, matching proxy profiles, handling autoproxy, displaying reference information, and applying your configuration.
Managing messages: Associating proxied messages with the appropriate profiles and supporting available editing, deletion, reply, and message-management features.
Saving preferences: Remembering profile information, sharing settings, and other configuration choices for future interactions.
Maintaining reliability: Diagnosing errors, resolving technical problems, monitoring service health, and improving performance.
Preventing abuse: Detecting misuse, enforcing applicable rules, responding to reports, and protecting users, servers, and infrastructure.
Responding to requests: Handling support inquiries, data access requests, corrections, and deletion requests.
Meeting legal requirements: Complying with applicable law, responding to valid legal demands, and protecting legal rights where appropriate.

We do not sell personal information or use Discord API data for targeted advertising. We do not use message content obtained through Discord's APIs to train AI or machine-learning models unless expressly permitted by Discord and applicable law.

We do not use Discord API data for unrelated profiling, or for purposes unrelated to D-Proxy's stated functionality.

4. How Information Is Shared

We do not sell or rent your personal information. Information may be disclosed or made available in the following circumstances, to the extent necessary and permitted.

4.1. Discord

D-Proxy relies on Discord to provide its core functionality. When you interact with the Bot, relevant information may be transmitted to Discord through its APIs.

Messages sent through D-Proxy, including webhook messages associated with proxy profiles, are subject to Discord's platform operation and applicable policies. Discord independently processes information according to its own terms and privacy policy.

4.2. Infrastructure and Service Providers

We may use hosting, database, storage, security, or other technical service providers to operate D-Proxy. These providers may process information on our behalf where necessary to deliver their services.

We restrict such processing to appropriate operational purposes and require applicable protections in accordance with our agreements and legal obligations.

4.3. External APIs, Reference Sources, and Image Hosts

D-Proxy uses external resources for certain reference and media features. These may include public APIs, datasets, repositories, wikis, image hosts, and other sources documented in the Terms of Service.

When D-Proxy requests an external resource, the relevant provider may receive the request and associated technical information, such as the requested resource URL and server-side connection metadata. The information received depends on the request and how the external service operates.

We do not intentionally transmit your Discord account identifiers to external reference providers unless necessary for a feature or expressly directed by you. External providers may independently process requests under their own policies.

4.4. Server Members and Other Users

Information displayed through D-Proxy may be visible to other people. For example, a proxied message or a shared proxy may expose profile names, images, message content, or other information to members of the relevant server or channel.

Visibility depends on the feature used, the applicable configuration, Discord permissions, and the destination where information is displayed.

Server administrators and moderators may also have access to messages and related information made available to them through Discord or their server-management tools. Their handling of that information is not necessarily controlled by Eirborn.

4.5. Legal Requirements and Protection of Rights

We may disclose relevant information when reasonably necessary to comply with applicable law, respond to valid legal process, address a security incident, investigate credible reports of abuse, or protect the rights, safety, and security of users, Eirborn, Discord, or others.

Any such disclosure will be limited to what is reasonably necessary and legally permitted.

5. Message Visibility and Discord Retention

D-Proxy does not control Discord's independent storage, caching, moderation, or retention of messages sent through its platform.

Deleting a proxy profile or changing its settings does not necessarily delete messages previously posted to Discord. A message may remain available unless it is separately deleted through a supported feature or by an appropriately authorized person.

Other users may retain their own copies, screenshots, or records. Discord and external image providers may also maintain copies or caches according to their own practices.

Removing D-Proxy from a server or ceasing to use the Bot does not, by itself, erase information already transmitted to Discord or other services.

6. Data Retention and Deletion

We retain information for as long as reasonably necessary to provide the relevant functionality, maintain associated records, protect the service, resolve issues, or comply with applicable legal obligations.

Retention depends on the type of information and the purpose for which it was processed.

Proxy profiles and settings: Retained while needed for the requested functionality, until deleted by the user, or until retention is no longer necessary.
Message and webhook references: Retained as needed for supported message-management features and associated operational requirements.
Diagnostics and security records: Retained for the period reasonably necessary to troubleshoot problems, investigate abuse, maintain security, or address relevant claims.
Deletion requests: Processed without undue delay, subject to applicable law and any lawful reason for limited retention.

Where information is no longer required for its stated purpose, we will delete it or otherwise handle it in accordance with applicable law and our operational retention practices.

Where technically applicable, residual copies in backups or other recovery systems may persist until they are removed through the relevant maintenance or replacement process. Information retained for a lawful security or legal purpose will be limited to what is necessary for that purpose and will not be kept indefinitely without justification.

We do not promise a fixed retention period for every category of information where retention depends on operational requirements or the feature concerned.

7. Your Choices and Privacy Rights

Depending on applicable law, you may have the right to:

Request confirmation of whether we process personal information about you and request access to that information.
Request correction or updating of inaccurate or incomplete information.
Request deletion of information associated with you, subject to lawful retention requirements and technical limitations.
Withdraw consent or object to certain processing where the applicable law provides that right.
Ask how your information is processed and raise concerns about our handling of it.

You may also manage or delete proxy profiles and adjust supported settings through the Bot's available features.

Please identify the relevant Discord account and explain what information or action your request concerns. We may request reasonable verification to ensure that we do not disclose or delete another person's information improperly.

Do not post passwords, authentication tokens, or unnecessary sensitive information in a public support channel. Use an appropriate private support channel where available.

We will review requests and respond within the periods required by applicable law. Certain information may be retained when required or permitted by law, or when necessary to protect security or resolve legal claims.

If you are in Colombia, you may exercise the rights available to you under applicable personal-data protection law, including Ley 1581 de 2012 where applicable. You may also submit a complaint to the Colombian Superintendence of Industry and Commerce (SIC) in accordance with the applicable legal procedure.

8. Data Security

We use reasonable technical and organizational safeguards intended to protect information against unauthorized access, disclosure, alteration, loss, and destruction.

These safeguards include restricting access to operational systems, protecting credentials, and applying appropriate security controls to the systems used to process information. Access to personal information should be limited to the people and services that reasonably need it for authorized operational purposes.

No service or method of electronic transmission or storage can be guaranteed to be completely secure. We cannot guarantee that unauthorized access, technical failures, or other security incidents will never occur.

Where a security incident affects personal information, we will take appropriate steps to investigate, mitigate, and address it and provide notifications when required by applicable law or platform requirements.

9. International Processing

D-Proxy and its infrastructure or service providers may process information in countries other than the country in which you reside. Those countries may have different data-protection laws.

Where applicable, we will handle international processing in accordance with relevant legal requirements and apply appropriate safeguards to the extent required.

Discord and external services may also process information independently under their respective policies.

10. Third-Party Services and External Content

D-Proxy may reference external services, APIs, databases, websites, and image hosts. These resources can change their content, availability, policies, or retention practices without our control.

A link or external image reference does not imply endorsement, affiliation, or control over the linked provider. We encourage users to review the relevant provider's policies when interacting directly with its services.

11. Children's Privacy

D-Proxy is not intended to be used by individuals who do not meet Discord's minimum age requirements or the minimum age required by applicable law in their jurisdiction, whichever is higher.

We do not knowingly seek to collect personal information from individuals who are prohibited from using the service under those requirements. If we become aware that information has been collected in violation of applicable age requirements, we will take appropriate steps to address it.

12. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes to D-Proxy's functionality, data-handling practices, infrastructure, or applicable legal requirements.

The revised version will be published with an updated date. Where a change requires notice or consent under applicable law or platform requirements, we will provide that notice or obtain the necessary consent.

We encourage users to review this Policy periodically. Continuing to use D-Proxy does not override any rights or consent requirements provided by applicable law.
